Prepare presentations for executive-level and customer meetings, draft responses to various correspondences, process expense reports as well as maintain confidential records and reports.
Take, type and distribute minutes of meetings
Process all incoming and outgoing project documentation and correspondence through the document control system;
Preparation of staff leaves, time sheet, calculation of staff overtime and records the details.
Input all data to database related to document receiving & tracking, document transmittal and submittal, document shop drawings;
Maintain the document control system for the project ensuring all document control procedures are adhered to by project participants;
Prepare all document classification, sorting, filling to specific box file, and retrieval of document in accordance to project document indexing and filing system;
Electronic transmission of document summary of transmittal and submittal, in accordance, to project distribution system.
Arrange and confirm appointments and Organize internal and external events.
Sustain a physical central file management; Record & update the file register of emails, instructions; Quality check of outgoing documents.
Maintains staff attendance and control staff requirements.
